Information on Spotter Fees and Move-In Assistance:
Exhibitors are responsible for the safe and efficient move-in and move-out of their materials. If your move-in or move-out requires the use of forklifts or other heavy equipment, or if your setup exceeds certain size or weight limitations as determined by the venue and show management, you may be required to utilize the services of a professional rigging or material handling company (our official service contractor is GES).
When will a spotter be required?
A spotter is generally required when operating heavy machinery such as forklifts, boom lifts, or scissor lifts. Additionally, if your booth construction or installation involves overhead work or the movement of large or potentially unstable items, a spotter may be necessary to ensure the safety of personnel and surrounding booths. Show management and/or the venue will have the final say on when a spotter is required.
Who should expect to be spotted?
Exhibitors with large, custom booths, those bringing in heavy or oversized equipment, or those planning complex installations should anticipate the need for a spotter. If you are unsure whether your move-in/out will require a spotter, please contact GES to discuss in advance.
Moving in on your own vs. needing assistance (for a fee):

Moving in on your own: Exhibitors with smaller displays that can be easily carried and set up by their own personnel may be able to move in independently. This typically includes tabletop displays, banner stands, and lightweight materials that do not require specialized equipment.

Needing assistance (for a fee): If your move-in involves heavy, bulky, or numerous items, or requires the use of dollies, carts, or other material handling equipment beyond what you can personally manage, you will likely need to utilize the services of GES for assistance. Fees for these services will apply and should be arranged in advance through the GES portal.
Weight Limitations and Handling Fees:
If the weight of materials brought by the Exhibitor is determined by show management to exceed reasonable limits, a handling fee may be assessed. The determination of excessive weight will be at the sole discretion of RALLY.

FAQ
Where can I order AV (computer screen, TV, etc) for my space?
If you require AV, you will have to order that separately through Markey’s. The link can be found within the GES portal. Complete your order before September 12 to receive advance pricing.
Where can I order electric or power for my space?
If you require power, it will need to be ordered through ICC, the link to do this can be found within the GES portal. Complete your order before September 6 to receive advance pricing.
What are the dimensions of my backdrop graphic (if applicable) and how do I upload it?
There are details and instructions on how to upload the graphic via the GES portal.
When is the graphic design deadline?
In order to take advantage of the best prices with GES, all graphics should be submitted and approved by August 21. After submission, allow for 7 days for the approval process. Depending on the type of graphic, additional fees on top of the increased prices may apply if submitting after this date.
Can I use non-GES furniture for my 10x10 or 20x20 space?
Yes, exhibiting participants are able to bring their own booth setup and furniture as long as it fits in the allotted space.
Note: an 8 ft table with a wrinkled tablecloth and two folding chairs is not acceptable and will be subject to show management discretion for removal.
Do I get access to Wifi?
RALLY is providing complimentary Wifi, but if you require direct internet to demo your product/service or because you are using A/V, it is advised to purchase a dedicated line. Additional internet can be purchased through the ICC exclusive vendor, Smart City. The link is included on the GES portal. Submit the order before September 9 to receive incentive pricing.
Can I purchase power or internet while on site?
Exhibitors are strongly encouraged to purchase power and internet ahead of the deadlines. If electricity is required onsite, there will be a rush fee on top of the electric fee.
Are on-site sales permitted?
Onsite sales are allowed. If you are not already, you will need to register with the Indiana Department of Revenue (IDOR) and submit a Business Tax Application (BT-1) for sales tax. All exhibitors selling products or tangible items are required to have a BT-1 and to collect the Indiana state sales tax (currently 7%) and declare it to the IDOR. Presently, a $25.00 fee applies. Can exhibitors access the Exhibit Hall floor prior to and/or after show hours?
Yes, exhibitors will be able to gain access to the Exhibit Hall floor during the below times (and during show hours):

9/24: 7 AM - 10 AM and 5 PM - 6 PM
- 9/25: 7 AM - 10 AM and 3 PM - 11:59 PM
Will RALLY provide a lead retrieval scanner for me to use?
Lead retrieval scanners may be rented through our badge vendor, American Tradeshow Services. Purchases must be made before the deadline of August 22. For more information, head to your exhibitor hub for the link included in your task list.
Can I have things shipped in and if so, what is that process?
Yes, you may ship in items. GES will accept crated, boxed, or skidded material at their warehouse beginning Wednesday, August 20. For additional information including the shipping address and key details, please refer to the GES portal.
How do I register for my all-access badges?

Innovation Alley: A RALLY team member will send your (1) badge code following receipt of payment. Badge discount codes expire (14) days from issue and cannot be reissued.

What insurance is required to exhibit at RALLY?
RALLY requires exhibitors to submit a certificate of insurance for any booth space that is 10x10 or larger. The COI must be provided by a licensed agent before August 24 and show:

General Liability: $1M per occurrence/$1M aggregate, naming RALLY Innovation, LLC as additional insured. Coverage must include event setup and teardown (Sept 23–25, 2025) and have no event-related exclusions.

Auto Liability (if using vehicles onsite): $1M combined single limit for owned, non-owned & hired vehicles.
- Workers’ Comp (if applicable): Per state law, plus Employer’s Liability of $500K per occurrence.
What if I need to cancel my booth space?
Prior to May 24, exhibitors who need to cancel will receive a 50% refund. After May 24, there will be no refunds.
